Ridgeway Lane LLC is a boutique financial management firm specializing in data solutions for Ultra High Net Worth (UHNW) clients and Registered Investment Advisors (RIA). Our firm provides high-touch client service while focusing on scalability, operational efficiency, and business growth.
As we continue to expand, we are seeking a proactive, highly organized Senior Executive Assistant to support the CEO, optimize company operations, and contribute to business development.
This is a high-impact role with growth potential, evolving into an Office Manager or Director of Operations role as Ridgeway Lane scales.
Position Overview
The Senior Executive Assistant will serve as the right-hand to the CEO and play a pivotal role in executive support, financial administration, CRM management, client onboarding, sales, and business operations.
This role requires exceptional attention to detail, project management skills, strong technology expertise, and the ability to collaborate with high-level executives and clients confidentially.
Key Responsibilities
1. Executive & Administrative Support
- Inbox & Folder Management – Organize CEO’s inbox, prioritize emails, and flag urgent matters.
- Calendar & Scheduling – Manage CEO’s schedule, coordinate appointments, book travel arrangements.
- Document Management – Maintain digital records in Box, Google Suite, Gusto, and internal databases.
- SOP & Workflow Documentation – Develop and refine Standard Operating Procedures (SOPs) for consistency.
- Legal & Compliance Tracking – Monitor contract expirations, track compliance requirements.
- Meeting Coordination – Prepare agendas, take notes, and manage follow-ups.
- Employee Onboarding & Training – Develop training materials for future team members as the company scales.
2. Financial Administration & Billing Support
- Invoice & Payment Tracking – Monitor outstanding invoices & coordinate payments.
- Bookkeeping Coordination – Work with Gusto, QuickBooks Online (QBO), and an external bookkeeper.
- Billing & Financial Reporting – Generate reports for CEO review, track company financial performance.
- Expense Management – Organize business expenses and budget tracking.
3. Client Relations & Onboarding
- Client Onboarding Process – Oversee client setup in Box, ensure all required documentation is submitted.
- CRM Implementation & Management (WealthBox CRM) – Assist in implementing and optimizing WealthBox, ensure smooth client tracking & automation.
- Email & Customer Service Response Management – Ensure timely client communication & follow-ups.
- Client Support & Tagging – Assist in Addepar data tagging for accurate client reporting.
- Client Confidentiality & Compliance – Maintain secure data management & two-factor authentication protocols.
4. Project & Workflow Management
- CRM & Workflow Automation – Set up and manage automated workflows in Zapier & WealthBox CRM.
- Project Tracking & Process Optimization – Use WealthBox CRM, Asana, and Slack to manage team tasks.
- Standardizing Marketing Decks & Client Presentations – Assist in refining and managing client presentations to streamline team efficiency.
- KPI & Performance Tracking – Monitor operational metrics, track client response times, process efficiencies, and CRM effectiveness.
5. Sales, Marketing & Business Development Support
- LinkedIn & Social Media Management – Manage CEO’s LinkedIn profile, post updates, engage with clients.
- Marketing & Outreach Coordination – Assist with quarterly newsletters, sales collateral, and branding initiatives.
- Networking & Event Coordination – Plan logistics for team meetings, client events, and quarterly business reviews (QBRs).
- Business Development Support – Structure client onboarding growth strategies & track new leads.
Qualifications & Skills
· Bachelor's Degree required; preferably in finance, accounting, or economics. Relevant work experience
will also be considered.
. 3+ years’ experience in a Senior Executive Assistant, Operations, or Project Management role.
· Experience in financial services, investment management, or wealth management firms preferred.
· Proficiency in CRM systems (WealthBox CRM preferred but not required).
· Ability to interact professionally with high-net-worth clients and maintain strict confidentiality.
· Strong technical skills – Proficient in Google Suite, Slack, Asana, Box, Zapier, Addepar, Arch, Gusto,
Calendly and Canva.
· Strong business development & marketing knowledge (LinkedIn, email marketing, branding
initiatives).
· Excellent organizational and problem-solving skills – able to anticipate needs & implement workflow
improvements.
· Attention to detail & ability to manage sensitive financial and client data securely.
