Job Title: Executive Club Director
Department: Club Operations
Reports to: Vice President & CCOO
Exempt/ Non-Exempt: Exempt
Primary Function
The Executive Club Director will lead, manage, direct, and monitor overall daily operations within their specific stand-alone club. The ideal candidate should have the ability to strategize, train and implement high-value program and operational initiatives. Objectives of this role include:
- having a POSITIVE attitude and being accountable
- assist in planning and overseeing the development of programs, within a designated stand-alone club, that support the organization's missions and goals
- being responsible for all administrative tasks, such as, staff development and building community
relations
- budgeting and financial responsibilities within the club
- assisting with local advisory boards
- providing leadership, supervision, and direction to all program staff members and volunteers
Key Responsibilities
Program Development
- Assist, plan, execute, and supervise a diverse Youth Development Program consistent with the goals and objectives of the organization, as approved by the VP of Programs.
- Help plan and oversee the administration of Club programs and activities that support Youth Development Outcomes - programs such as Academic Success, Health & Life Skills and Good Character & Citizenship.
- Evaluate club programs and activities on a continual basis and ensure these meet member needs. Make sure to address with the VP & CCOO and Programs dept. any gender or cultural bias.
- Plan, organize, and conduct programs utilizing community resources.
Board Development
- Assist the VP & CIO in recruiting and developing effective advisory Board Members.
- Assist local boards with projects, meetings, and events.
- Attend all Advisory Board meetings.
- Work with Internal and External Board committees on tasks assigned by those members.
Safety & Operations
- Establish and maintain club program goals and settings that ensure the health and safety of all members.
- Provide the necessary guidance to maintain discipline and acceptable behaviors in the club.
- Ensure all staff, volunteers, and other individuals follow Club protocol and organization procedure.
- Evaluate programs, activities, staff, and volunteers daily, to ensure appropriateness and effectiveness of services provided.
- Manage facilities to ensure it is a productive work environment.
- Regular Inspection and documentation of vehicle maintenance
- Administer CPR and first aid as necessary.
- Ensure that club staff understand and effectively communicate safety standards of programs, this includes, making sure all areas are safe, well ventilated, well lit, and all club equipment is maintained and in good working condition.
- Inspect supplies and equipment regularly and keep an inventory; make sure they are in good order.
- Maintain a safe environment.
- Assist in the supervision of the care, maintenance, and cleanliness of the equipment, the building grounds, and the vehicles.
- Mandated child abuse reporter.
Personnel Management
- Effectively manage all club staff by overseeing and providing support, coaching, feedback, supervision, and guidance.
- Ensure yearly reviews of all staff are done in a timely manner.
- Provide leadership to staff for better understanding of individual member’s needs.
Member development
- Assist members with training, guidance, and responsibilities for growth, according to their individual needs. This should include a detailed and thorough member orientation prior to them starting.
- Ensure that members are encouraged to participate in a variety of programs and activities.
- Act as a liaison between members, parents, teachers, and other community and social service agencies.
- Assist the SEL coordinator to provide counseling and follow-up on individual members, as needed, and identify their needs.
- Stimulate participation in club membership, including the promotion and coordination of inter-departmental activities and special events.
Administrative
- Adhere to established time schedules.
- Establish and maintain relationships with the Advisory Boards and local schools.
- Follow Approved budget.
- Monitor and report variances in expenditure.
- Increase visibility of Club programs by posting daily schedules, timely announcements of upcoming events, and timely dissemination of advertising and promotion through mailings, fliers, and media releases.
- Maintain accurate records of activities, programs, scheduling, and members using computer database/software.
- Assist in conducting regular staff meetings, as well as, periodic volunteer meetings.
Perform other duties as assigned.
Relationships
- Internal: Maintains close, daily contact with Club staff (professional and volunteer), Club members, and supervisor to receive/provide information, discuss issues, explain guidelines, give instructions, and advise/counsel.
- External: Maintains contact with external community groups, schools, members' parents, and others to assist in resolving challenges.
Skills & Knowledge Required
- A minimum of two years of direct youth service experience and a demonstrable record of planning and implementing youth programs. Previous experience working with at-risk youth is preferred.
- Bachelor’s degree preferred – work with the VP & CIO to develop a comprehensive plan to ensure a timeframe on which a degree and/or director’s credentials will be completed, Substitute education for experience, Six (6) + years of professional experience in Youth Development, Education, or related field
- Demonstrated ability to creatively plan, coordinate, and evaluate quality youth programs directly and through collaborations.
- Demonstrated ability to work collaboratively with other departments/organizations to deliver quality programs to club members and potential members.
- At least one year of demonstrated supervisory or leadership experience at a Boys & Girls Club or similar organization.
- Demonstrated ability to train, orient, and recognize staff and volunteers.
- Demonstrated ability to use outside resources when necessary.
- The ability to effectively communicate, verbally and electronically, in presentations to any audience.
- Strong computer skills (Excel, Word, Outlook).
- Strong administrative skills/experience required.
- Certificate of first aid and CPR.
- Valid Florida driver’s license – must be able to meet insurance requirements.
- CDL, Class B Florida license with passenger & air brake endorsements and a safe driving record preferred. (Will be required to obtain license within 6 months to drive on a regular basis).
- Ability to distinguish when time to discipline and time to counsel members (good judgment).
- Ability to be creative with programs, members, room decor, etc.
- Skills for planning and initiating activities based on youth developmental needs.
