Chief of Staff/Office Manager & Legal Assistant to keep our operations humming and support our legal team in delivering outstanding results.
The Role
This role blends office management with hands-on legal assistant duties. You'll be the backbone of the firm, managing the office and other legal assistants/paralegals, as well as providing direct support to attorneys. What You'll Do
Office Operations & Administration:
- Be the go-to person for all things office-related.
- Keep our workspace organized, stocked, and running like clockwork.
- Build and refine systems and processes that keep us efficient.
- Manage vendor relationships and coordinate office maintenance.
- Stay ahead of compliance and regulatory requirements.
Legal Assistant Support
- Prepare, format, and proofread legal documents and correspondence.
- File documents with state and federal courts (electronic and traditional filing).
- Maintain case files and calendars, ensuring deadlines are tracked and met.
- Assist attorneys with trial preparation, document production, and discovery.
- Communicate with clients, opposing counsel, and court personnel as needed.
Team & Culture Champion
- Lead hiring, onboarding, and training for support staff.
- Manage employee records, benefits, and payroll coordination.
- Promote a culture of collaboration, accountability, and excellence.
- Be the bridge between attorneys, staff, and firm leadership.
Finance & Budgeting
- Partner with leadership to manage budgeting, expenses, and reporting.
- Oversee billing cycles, payables/receivables, and payroll.
- Identify cost-saving opportunities and keep our financial engine tight.
Tech & Tools Oversight
- Own our tech stack—from legal software to IT support coordination.
- Ensure seamless use of case management systems and secure data practices.
- Push for smart upgrades and better systems when needed.
What You Bring To The Table
- 3–5+ years of office management and/or legal assistant experience in a law firm.
- Bachelor's degree or paralegal certificate preferred.
- Solid understanding of legal procedures, court rules, and legal document formatting.
- Familiarity with law firm operations, HR practices, and financial workflows.
- Tech-savvy: Clio, QuickBooks Online, and Microsoft Office are in your wheelhouse.
- Top-tier organization, communication, and multitasking skills.
- A positive, no-drama attitude and the discretion to handle sensitive matters.
