Job Summary: The Administrative Coordinator plays a key role in supporting the organization's development and donor relations activities. This position is responsible for coordinating logistics , maintaining donor records, assisting with donor prospecting and engagement , and ensuring smooth execution of donor stewardship, fundraising events , and donation processes. The ideal candidate is highly organized, detail-oriented, and enjoys working in a dynamic, mission-driven environment.
Principal Responsibilities
Donor Stewardship
- Schedule and coordinate meetings, tours, and donor-related events for the Development Director and Executiv e Director
- Support donor prospecting efforts by researching potential donors and strategizing moves management with the Development Director and Executive Director
- Manage donor mass- communications as well as correspondence with individual donors to foster relationships
- Prepare and distribute tax acknowledgment letters, handwritten thank you letters, and donation documentation
- Maintain and update donor records in the CRM database to ensure accurate and organized data
Committee & Executive Support
- Provide administrative and scheduling support to the Board of Directors, Executive Committee, Summer Event Series Team, Fund Development Committee, and Scholarship Committee
- Manage the calendar of the Executive Director to meet t heir administrative, fundra ising , supervisory, and strategic need
Events & Corporate Partnerships
- Assist with securing corporate sponsorships and maintaining sponsor relationships
- Solicit in-kind gifts and coordinate with partners to ensure smooth implementation of fundraising and stewardship event s
- Assist with event coordination, including preparation, setup, and follow-up
- Coordinate and complete local errands, including donation pick-ups and event supply deliverie
Minimum Qualifications:
Required Skills/Abilities
- Basic knowledge of Microsoft Outlook, Word, Excel, and SharePoint
- Strong written and verbal communication skills, with the ability to engage professionally with donors, sponsors, and staff
- Excellent organizational and time-management skills; ability to manage multiple tasks and meet deadlines
- Attention to detail in managing records, preparing documentation, and coordinating logistics
- Ability to handle confidential information with discretion and professionalism
- Proficiency with CRM systems and experience with philanthropy databases
- Valid driver's license and reliable transportation for local errands and donation pick-ups
- Ability to work occasional even ings and weekends
Qualifications

- High School Diploma or Equivalent
- Associate or Bachelors in Related Field (Administration, Communications, English, Marketing, Hospitality) preferred
