Position Summary:
The Senior Event Planner leads the planning, coordination, and execution of the Federation’s most high-profile fundraising and engagement events, including all signature and high-level donor events. This role supervises two project coordinators and ensures that all events align with the Federation’s mission, vision, and strategic priorities. The Senior Event Planner is responsible for vendor negotiations and management, budget oversight, and cross-functional collaboration to deliver exceptional event experiences.
Essential Duties and Responsibilities:
Strategic Event Leadership
- Independently manage a portfolio of high-impact events, including all signature and high-level donor events.
- Collaborate with senior leadership, development officers, and marketing to define event goals, themes, and strategies.
- Supervise and mentor two project coordinators, providing guidance, performance feedback, and professional development.
Vendor and Budget Management
- Lead vendor negotiations, ensuring favorable terms and adherence to budget and quality expectations.
- Oversee vendor performance and maintain strong relationships to ensure seamless event execution.
- Develop and manage comprehensive event budgets, ensuring fiscal responsibility and alignment with organizational goals.
Project Oversight and Execution
- Oversee all phases of event planning and execution, including timelines, logistics, staffing, and contingency planning.
- Ensure timely delivery of marketing and promotional materials in collaboration with the Event Project Manager.
- Maintain organized documentation and records for all events, ensuring transparency and continuity.
Stakeholder Engagement
- Serve as the primary point of contact for internal and external stakeholders, including donors, sponsors, lay leaders, and vendors.
- Represent the Federation at all events, ensuring a professional and mission-aligned presence.
- Foster a culture of excellence, collaboration, and customer service across all event touch points.
Evaluation and Continuous Improvement
- Conduct post-event evaluations to assess outcomes, gather feedback, and identify areas for improvement.
- Stay current on industry trends and best practices to continuously elevate the Federation’s eventexperiences.
Qualifications and Success Factors:
- Bachelor’s degree preferred in Event Planning, Fundraising, Hospitality, or related field.
- Minimum of 5 years of experience in event planning, with at least 2 years in a supervisory or senior-level role.
- Proven experience managing high-level donors or signature events.
- Strong leadership, organizational, and communication skills.
- Proficiency in Microsoft Office Suite, Zoom, and donor management systems.
- Experience managing budgets and negotiating vendor contracts.
- Ability to work independently and collaboratively in a fast-paced environment.
- Must be able to work evenings and weekends as needed.
- Valid Florida driver’s license and ability to lift up to 25 lbs.
Work Environment:
Position is eligible to work from home occasionally in accordance with Federation policies. When working from home, employee must:
- Follow all Federation policies and procedures,
- Be available to other employees during Federation’s normal business hours,
- Not work from a public place (e.g., coffee shop, library, etc.) and/or join a public, insecure wi-fi network when working with sensitive or confidential information,
- Coordinate with IT department to maintain appropriate computer equipment and connectivity.
Pay Rate:
In addition to benefits, the annual salary range for this role begins at $75,000. We benchmark our salaries for new hires in relation to the role, level, and role location; however, we consider a multitude of factors, to include relevant experience, skills, and education/training, to determine compensation levels.
