Operations Manager

POSITION SUMMARY:
The Operations Manager supports the overall operational needs of the Jewish Federation of Cincinnati. The Operations Manager will report to the Chief Operations Officer and will also be responsible for management of the Data Systems Administrator.
ESSENTIAL FUNCTIONS:
The Operations Manager will work closely with multiple Departments: Development, Community Building, Jewish Community Relations Council, SAFE Cincinnati, Marketing, SBS HR and SBS Finance. The Operations Manager will help develop new streamlines processes across multiple departments.
- Project Management:
- Provide leadership for the overall direction, coordination, implementation, execution, control and completion of specific projects ensuring consistency with organizational strategy, commitments and goals.
- May manage the project budget.
- Develop project plans resource allocation, and timeline. Manage the day-to-day operational aspects of a project and scope.
- May direct assigned project team ensuring effective utilization of resources.
- Reports on progress of the project to all stakeholders.
- Provides detailed organizational communication plans when clinical operations are impacted.
- Client Relations:
- Manages our effort to continuously improve client operations, internally and externally.
- Establishes robust client relationship management practices and systems
- Grants Management & Development:
- Manage grant application processes
- Grant reporting and data management
- Work with M&E team on alignment of metrics
- Cincy Journeys Grants Administration and Management:
- Application and Payments Processing
- Tracking, Reporting & Analysis of data
- Data Systems Management:
- Manage Data Systems Administrator
- Experience providing customer service and user support related to data operations, customer relations management (CRMs), and/or fundraising platforms.
- Strong qualitative and quantitative analysis and research skills, with the ability to effectively translate information to a wide variety of stakeholders.
- Donor Database
- Grants Management Database
- Reporting across the organization
- Data hygiene
Works closely with Development, Community Building, Finance and Marketing on the following:
- Development operations including but no limited to donor relations and gifts management
- Collections
- Reporting for Annual giving (including Directed Giving) and Endowments.
- Restricted endowment distributions
- Marketing Operations
POSITION QUALIFICATIONS:
- Bachelor’s degree required.
- Minimum of 5 years of related work experience.
- Exceptional operational track record: proven ability to create and implement business systems and processes
- Passion and proven track record for finding multivalent operational problems and challenges in complex businesses, and fixing them
- Proven ability to create, maintain, and improve technology-enabled client process and procedure that works for clients and for the team that is delivering service
- Background in developing analytics for systems, process, and their intersections with finance
- Excellent interpersonal and communication skills, meticulous attention to detail and follow-up.
- Problem-solving and critical thinking skills to develop strategies that help overcome departmental challenges and enhance the organization’s performance.
- Self-starter with demonstrated ability to set goals, tasks and timetables and manage workflow.
- Must be organized, detailed and have ability to multi-task.
- Entrepreneurial, can-do attitude.
- Some early morning meetings, evenings and weekend meetings and events are required.
- Ability to work in and build strong collaborative team, both internally and externally.
- Proven ability to work collaboratively across departments and disciplines to deliver projects focused on delivering excellence to clients
- Demonstrated ability to establish and meet objectives and performance standards
- Commitment to the mission of the Jewish Federation of Cincinnati and knowledge of Jewish customs and practices.
- Proficiency in MS Office Suite, and various electronic communication tools. Experience with project management software a plus.
