The Jewish Federation of Cincinnati (“JFC”) is hiring a Senior Administrative Assistant for Shared Business Services (SBS), a department of JFC. SBS provides professional finance, accounting, human resource, talent management, and risk and insurance services for the Jewish Federation and for more than 20 Jewish non-profit agencies in the Greater Cincinnati area and is a critical, valued business partner of those organizations.

POSITION SUMMARY:
This is a full-time, in-office hourly Senior Administrative Assistant position and reports to the Accounting and Finance Manager who oversees centralized processes. The Administrative Assistant supports departmental employees with a variety of tasks, including being responsible for confidential and time sensitive material. The Administrative Assistant needs to be familiar with a variety of administrative concepts, practices, and procedures. This position supports multiple individuals and must respond timely to ad hoc requests. Therefore, it is critical that the Administrative Assistant works five days/week in the JFC office location.
ESSENTIAL FUNCTIONS:
- Provide primary administrative support for the Managing Director of the department and all SBS staff
- Support the Talent Management Advisor in project management and execution of tasks, including events and training initiatives
- Perform light accounting work, such as customer billing and deposit scanning
- Answer phone calls and direct callers to appropriate parties or take messages, as appropriate
- Schedule meetings with volunteers and professionals
- Coordinate meeting needs, including location and logistics, agendas, minutes and other material development, copying and distribution, as well as room, food and beverage orders and set up
- Coordinate and perform periodic archival of documents and manage offsite storage needs
- File and retrieve corporate documents, records and reports
- Open, sort and distribute incoming correspondence, including mail, faxes and email
- Run departmental errands, including trips to the bank and/or client locations
- Make travel arrangements
- Coordinate, prepare for and greet visitors
- Maintain department vacation and leave calendar
- Support accountants with mailings and acknowledgement letters as requested
- Purchase office supplies for departmental employees
- Complete other duties as assigned
CANDIDATES SHOULD HAVE THE FOLLOWING SKILLS AND EXPERIENCE:
- Experienced administrator with strong office and project management skills
- Critical thinking is essential

- Must be able to follow standard filing procedures
- Ability to work independently and also with a team in a fast-paced and high-volume environment with emphasis on organization, accuracy and timeliness
POSITION QUALIFICATIONS:
- High school diploma or GED certificate
- At least three years of administrative support experience
- Strong computer skills, including Microsoft Office (Word, Access, Excel, PowerPoint, and Outlook)
- Accounting experience a plus
- Experience with QuickBooks and Blackbaud’s Financial Edge a plus

$25.64 - $27.18 per hour based on experience. Please note, the JFC operates on a 37.5-hour workweek, totaling 1,950 hours annually.
