Hourly Position
The Early Childhood & Youth Administrative Assistant will contribute to the vision, mission and values of the Youngstown Area Jewish Federation by supporting the Early Learning Center, Camp JCC, and Youth Program Services to provide the highest quality programs to the communities we serve.
Complete administrative tasks including but not limited to contacting parents, creating and distributing materials, and organizing all registration, documentation, and enrollment paperwork.
Duties And Responsibilities
- Answer all incoming phone calls in a professional, friendly manner, and answer questions related to Early Childhood Center, scheduling meetings and tours in a timely fashion.
- Assist families in registering for programs in Club Automation and making updates to their profiles.
- Using the One Call system, ensure families have up-to-date information about the ELC, health concerns, and JCC information.
- Monitor student attendance weekly by ensuring that all students have been swiped in and out of the Kinder application. If parents are not swiping, follow up to ensure completion. Submit attendance to the Controller weekly
- Assist classrooms to ensure ratios are met daily, as well as ensuring classrooms are supported.
- Assist teachers with student concerns or needs
- Respond to medical concerns and take appropriate actions
- Address parent concerns, questions, complaints in an appropriate professional manner
- Purchase and maintain inventory, supervising the allocation of program supplies and equipment as directed. Restocking and keeping detailed records monthly on correlating documentation.
- Ensure all classroom have required, up-to-date signage posted in their classroom require for licensing
- Assist classrooms with Jewish celebrations and Shabbat every Friday
- Assist the Operations Manager with census, waitlist, and transition schedules
- Create quarterly newsletters for the ELC to inform parents of upcoming events, activities, and information
- Availability may be flexible to cover duties when the Director or Operations Manager are unavailable
- Coordinate with Facilities and Maintenance Manager to ensure a high level of cleanliness and appropriate maintenance of department spaces.
- Adhere to all JCC and departmental policies
- Perform other responsibilities as deemed appropriate by the ELC Director.

Requirements
High School diploma required, associates degree preferred. The ideal candidate will enjoy working with children and families and have a high level of interpersonal communication skills. Ideal candidate has a high level of organization, able to manage multiple projects at once, and experience with GoogleSuite and Microsoft Office. Candidates must pass an FBI/BCI background check and drug screen.
