About Us:
Congregation Beth Shalom is a warm, inclusive, and vibrant small synagogue serving a close-knit community of 40-50 families. We are seeking an organized, detail-oriented, and personable worker to support the daily operations of our congregation, ensuring smooth administration and excellent communication.
Position Overview:
The Administrative Assistantreports to the board of directors and plays a vital role in serving as the central point of contact for members. This position requires a self-motivated, detail-oriented, and personable individual who will be sure that all tasks are completed in a timely manner.
Key Responsibilities:
Administrative & Operational Support:
- Oversee synagogue office operations, including mail, email, and phone correspondence.
- Maintain membership records, emailing and mailing lists, and synagogue calendar both in the office and online.
- Annually create and disseminate a membership directory.
- Coordinate building use and liaise with vendors for needs.
- Manage synagogue communications, including monthly newsletters, event reminders, yahrzeit postcards, social media, and website updates.
- Be sure that all needed supplies are bought and stored.
- Prepare materials and reports for board meetings.
Financial Assistance:
- Maintain records of financial contributions, dues payments, and Sunday school payments.
- Record incoming bills and prepare checks for the treasurer’s signature, then mail the payments.
- Work with the treasurer and finance committee to track budgets and process payments/donations.
Qualifications & Skills:
- Strong organizational and administrative skills with attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in office software (e.g., Microsoft Office, Google Suite) and social media platforms.
- Preference for experience with basic accounting systems (the congregation currently uses Aplos)
- Ability to work independently and collaboratively with lay leaders and volunteers.
Work Schedule & Compensation:
- This is a part-time (~25-30% time) hybrid in-person/remote position with flexible hours, including some evening/weekend work for board meetings, events and services.
- Compensation is commensurate with experience ($12-$19/hr)
