A law firm client in Greenway is seeking an Executive Assistant to support multiple attorneys.
Proficiency in Microsoft Word, Excel, and PowerPoint is required and will be tested, due to the communication demands within the law firm.
OVERVIEW
This executive assistant will provide all requested administrative support, which may include word processing, database management, spreadsheets, presentation software, electronic calendaring, communication assistance and emailing. Job duties may vary depending on the assigned Attorney’s requests.
RESPONSIBILITIES
Secretary duties
- Maintain complex calendars for multiple Attorneys
- Manage phone lines for assigned Attorneys
- Time entry for Attorneys into the time-keeping system
- Maintain a high level of discretion and confidentiality
- Act as the point of contact between Attorneys and clients
- Set up meetings and conference calls
- Create expense reports and review and confirm reimbursements
- Create PowerPoint presentations per Attorney requests
- Maintain attorney reading and working files
- Make travel arrangements for Attorneys
- Make restaurant reservations as requested
- Assist with event planning as requested
- Arrange for courier pick-ups and deliveries
Word processing and mail out duties
- Document revisions, proofing and editing
- Process mail-outs and overnight deliveries
Receptionist duties
- Periodically fill-in for the primary Receptionist on the main floor as requested
- Greet and direct guests to conference rooms
- Receive deliveries
All other duties as assigned
JOB QUALIFICATIONS
- High Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Excellent oral and written communication skills
- Excellent telephone skills
- 5+ years of experience as an Executive Assistant
- Detail oriented and works with a high degree of accuracy
- Highly organized and flexible
- Ability to multitask and prioritize workload
- Must be team focused
- Must be self-directed and able to complete projects with limited supervision
