Har Zion Temple is seeking a highly organized and personable Communications & Clergy Administrative Coordinator to provide synagogue communications and clergy administrative support.
This position will work with all synagogue staff and lay leaders in developing communications and marketing material for synagogue activities to be distributed to appropriate audiences. They will oversee flow of information to the clergy team to make sure they know everything they need to, help them organize their schedules, and provide administrative assistance. They will also oversee flow of clergy information out – from individual responses to mass communications to the congregation and community.
This position requires strong interpersonal skills, adaptability, organization, and attention to detail. Prior knowledge of Jewish customs, holidays, and synagogue operations is highly preferred. Familiarity with technological tools for communication and organization is required, with the ability to master new software and technology.
Job Responsibilities:
- Coordinate synagogue communications with the Marketing Director.
- Be the first point of contact for staff, congregants, and community members needing to speak with the clergy, demonstrating warmth, empathy, tact, and professionalism.
- Manage scheduling, appointments and activities for clergy, including ritual services, congregational activities, and lifecycle events (births, deaths, weddings, etc.), utilizing scheduling software, ensuring they are properly communicated with the rest of the staff and community, including High Holiday planning and holiday celebrations.
- Serve as the primary administrative support for the clergy (Rabbi, Cantor, and Scholar-in-Residence).
Specific Tasks and Tools:
- Utilize Microsoft Word, Excel, and Outlook for communication, scheduling, and organizational tasks.
- Assist in creating and distributing mass email communications to the congregation using platforms such as Constant Contact.
- Prepare published materials such as annual Book of Remembrance.
- Update the website using WordPress to post events, announcements, and other content.
- Help design flyers, promotional materials, and social media content using Canva.
- Ensure accurate information flow about clergy activities between clergy, staff, and the community.
- Assist other administrative staff as needed for major temple events.
Qualifications & Skills:
- Exceptional people skills – warm, welcoming, and able to handle sensitive matters with care.
- Strong organizational abilities with keen attention to detail.
- Prior experience in a synagogue, Jewish organization, or a strong understanding of Jewish holidays, traditions, and lifecycle events.
- Ability to manage multiple projects, prioritize tasks, and adapt to urgent needs.
- Proficiency in Microsoft Office (Word, Excel, Outlook), WordPress, Canva, and scheduling software.
- Strong written and verbal communication skills.
- Ability to work independently and collaborate with a team.
