Position Summary
The Operations Specialist supports the COO on day-to-day operations of JFS to ensure high standards of operations are in line with the JFS mission and values. The Operations Specialist supports the COO on the development and oversight of JFS facilities, systems, strategies, equipment, and talent management. The Operations Specialist will also support projects of the Operations Team including the Operations Director and Food Pantry Manager.
Primary Duties, Responsibilities And Essential Functions
Facilities & Equipment
Support IT Systems and serve as a liaison with IT Consultant. This includes the storage and distribution of computers, tablets, phones (cell and desk), and AV equipment
Participate on Security Team as one of the primary Security Monitors for both sites
Serve as a liaison for contracted equipment and agency subscriptions which may include copiers, printers, postage machine, Shred-It, security equipment, and furnishings. Provide order tracking and monitor payments.
Support the management of JFS facilities, including the HQ and Barbash Family Vital Support Center to maintain clean, professional and functional workspaces.
Manage office supplies for both sites
List Management and Employee Onboarding
Maintain employee lists: including email distribution lists, employee contact information, phone extensions, organization chart, licenses of professional staff
Maintain computer, tablet, cell phone and desk phone assignments
Maintain vendor list
Provide updated staff information for name badges, business cards and other marketing needs in support of COO and Marketing Director
Provide equipment and training on agency procedures for new employees
Special Projects
Support for special projects such as
New Internal Staff and Programs Directory
New Interactive platform for staff internal communications
Monthly or Bi-monthly internal newsletters with program updates
Updating And Reorganization Of Staff Job Descriptions
Food Pantry holiday projects
Support for Website Content Updates with Marketing
Administration & Project Support
Provide Administrative Support For
Food Insecurity Program as needed
Talent Management initiatives and employee surveys
Administrative policies and procedures including reviews, updates and development
Communication with JFS staff regarding ongoing updates and changes
Management of COO’s calendar, meetings, and invoices as needed
All-staff meetings
Operations updates and documentation needed for CQI and Accreditation
Position Qualifications
- Bachelor’s Degree preferred or Associate’s degree with 3 years of experience as executive assistant
- Minimum 1-2 years of office experience; however new graduates will be considered
- High degree of computer experience; proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and ability to use customized software.
- Outstanding professional demeanor and customer service skills
- Excellent organizational skills
- Ability to work independently and to take initiative
- Ability to multi-task
- Clear and precise in both spoken and written communication with strong attention to detail
- Able to work constructively as member of a team
- Must be able to pass a background check
- Fully, in-office position
